Have you ever wondered how long it takes to run a successful podcast while running a part-time coaching business? Are you excited to start your podcast but don’t think you have enough time to make it work? Or, do you already have a podcasting and coaching business and need to simplify your process?
If you have asked any of these questions, you may be surprised how little time it takes to run a podcasting and coaching business successfully while only working part-time. In today’s blog, I go over how to run a part-time podcasting and coaching business in only 5-10 hours per week! I provide an hour-by-hour breakdown to make it super simple, depending on if you have 5 or 10 hours weekly.
How to Run Your Part-Time Podcasting and Coaching Business – Hour-By-Hour Weekly Schedule Breakdown
One of the biggest fears I hear from people deciding whether to start a podcast is lack of time. They have spent so much time on social media, not gaining any traction they are scared to start something new in case it becomes another time drain on their already overwhelmed schedule. Or when people do start podcasting, they don’t have a proper structure in place, and it takes all of their time and ends up fulfilling that fear.
But that’s the exact opposite of what should be happening. One of the reasons I love podcasting so much is because it frees you in your life and business. It doesn’t require the constant attention that other platforms, like social media, need. You show up, pour into it, and then you can walk away for another week. Once it’s published, you can move on with your day and life.
Intentional Time Management Is Essential in a Part-Time Business
Firstly, you must have an intentional time management system to achieve everything you need for your part-time business. This is essential because it shows you how many hours you have available to work on your business. It also allows you to plug those hours in as work blocks throughout your week, so you know where they fit.
For example, my week is very different at the moment because my boys are off on spring break. Having the kids home means we have to plan who is spending time with our kids and who is working.
When this is the case, you can end up with work hours all over the place; two hours one day, none the next, and then a few hours on the weekend. It doesn’t matter when the hours are; you just have to be intentional about blocking that time out. Although, remember to show yourself grace when working around your family; you chose to podcast for the flexibility.
How to Schedule a 5-Hour Work Week for Your Podcasting and Coaching Business
Let’s look at how to schedule a 5-hour work week for a podcasting and coaching business, broken down into 30-minute blocks. As I said earlier, you can do these in bigger or smaller pieces; just make sure you are intentional about the time. I cover the details on how to start and run a podcast in my course Podcast Pro University, so if you are just beginning or need help, go check it out!
0-30 Minutes: Prep Your Podcast
This is the time to plan out and prep your podcast. Ideally, you want to get this down to only ten minutes per episode but no more than 30 minutes.
30 minutes – 1 hour: Recording your show
Spend your next 30 minutes recording your podcast episode.
1-1.5 Hours: Editing the Show
If you record a 30-minute show, you only get 30 minutes to edit. I recommend only spending 5 minutes editing per show, which is possible using this hack I teach in my course, Podcast Pro University. What you do is, when you make a mistake you’d like to get rid of, press the stop button, delete the error, and then hit record again. Super simple!
95% of my shows are entirely unedited; I only edit the long live coaching episodes because they need to be shorter for my listener to digest.
1.5-2 Hours: Create Your Promotion Materials
I recommend following my very simple promo plan.
Create some graphics
Write your show description
Share the graphics and show description where you show up (eg. Instagram or Facebook plus Pinterest)
That’s it! We avoid unnecessary time-wasters like filming reels for social media and creating freebies for each episode. It also gives you the freedom to do what works for you; if you don’t want to be on social media, great! Cut social media out and move to Pinterest, which I teach in my intensive group mastermind Podcast to Profit. Where you promote isn’t as big a deal; the main thing is you want to promote in places that are one-to-many.
2.5 – 3 hours: Email Nurture
It’s important to grow your email list because it’s where you can capture your listeners and stay front of mind for them. You don’t need to email crazy often; a simple email once per week announcing the new podcast episode is enough. All you need to include in the email is:
Here’s a new episode and the episode title
The episode’s description (the same one we shared in promotions)
A link to the show
It doesn’t need to be complicated; keep it simple and it works.
3 -3.5 hours: Nurture your Facebook Community
Nurturing your Facebook community is essential for building a community around your podcast. It’s another thing I cover in detail in Podcast to Profit, but essentially, it’s a place for your listeners to find each other. The goal is to create a self-sustaining community where they can speak to and support each other.
Nurturing this group might look like a poll, or a funny meme, and it’s a great place to put a reminder that your new episode is out. Keep it casual and have no expectations, especially when you are starting. It won’t do much until your show grows; it’s like a container to collect your listeners.
There you go, 3.5 hours, and you can have everything for running a weekly podcast done! Everything from planning through recording, editing, launching, executing, and even promoting.
3.5 – 5 hours: Coaching and Projects
Once the podcast is done for the week, it’s time to focus on other projects. Since you are running both a podcasting and coaching business, it’s essential to ensure you stay on top of your to-do list. This time might include working on the business side of the show, getting back to emails, or coaching. It depends on what your goals are, what projects you are working on and how you are planning on monetizing your business.
How to Schedule the Next 5 Hours for a 10-Hour Work Week in Your Podcasting and Coaching Business
Now we are going to build on the 5-hour schedule we outlined earlier. If you are trying to grow your show and have extra time, the main priority is to add a new show.
5 – 8 hours: Add a second podcast episode
Following the breakdown above, we will record and release a second episode each week. We want to follow all the steps, except as we want to only send one email out per week, we will put both shows in the one email.
8 – 10 hours: Project and coaching time
You can use this time for whatever you want to work on. Some ideas include building your website, writing copy, or doing market research. You are the visionary of your business; the leader. As such, we all have one job, and it’s to be the CEO of growth. As the CEO of growth, what do we focus on in our project time? We do things that make an impact or income, and that is all.
Growing Your Part-Time Business Doesn’t Have to Be Hard
One of the biggest lies I see in online business is that growing your part-time business has to be complicated. Growing your business shouldn’t be overwhelming, hard, addictive or distracting. If it is, I believe you’re doing it wrong.
It’s crucial to simplify the growth of your business so that you can show up from the heart. The easiest way to do this is with podcasting. Podcasting is an evergreen strategy that allows you to grow and scale your coaching business organically. Once you’ve got your podcast, figure out your keywords, SEO, and visibility, and now you have a strategy to work on for the next 12 months. This is how you simplify your podcast and coaching business and stop making business hard.
