(00:00): It’s Quick Tip Tuesday. It’s that time. We are gonna be answering a juicy question from Lauren: How the heck do I automate my coaching business? I don’t want to schedule and Facebook messenger anymore.
(00:16): I don’t wanna have to log into zoom and click the things and I just need to show up and coach. Can I get an amen? Y’all are gonna love this one. Stay tuned. Let’s get our learn on today.
(01:32): Hey, Stef! I’m Lauren from Intentional Edit, a professional home organizing company. I have completely changed my business model in the last year from seeing in-person clients to virtual coaching.
I’m launching a podcast next month and I’m working on a course right now that will hopefully be ready by December.
(01:48): My question is about the logistics of coaching. The coaching portion of my business grew organically.
And I’ve actually been doing these sessions through Zoom, FaceTime and setting them up through direct message on Instagram or through emails.
(02:01): And then I just send them a PayPal invoice to pay. So now that I’m launching this podcast, I really want to have a coaching section on my website.
There they can just click on something and schedule and set up everything for the coaching sessions.
(02:16): But I’m really struggling with what apps, websites, programs. I know there are things out there to automate this or widgets or plugins on the backend of my website, but I just want to streamline the process.
And I don’t know how to go about making it automated because my searches are coming up with information that is not relevant to this.
(02:39): So I’d like to have a process where the client clicks on the button, on my website, they sign up and pay at that time. And then they will automatically be sent an email with the worksheet that they have to complete and submit.
And then they can schedule a coaching session with me based on times that I’ve already selected. So please help!
(03:02): What’s up, Lauren? I’m so excited about this question. As y’all know, I have been a coach now for three years.
I’m a Christian business coach, podcast coach, grew a thriving super successful business 100% organically from my podcast.
So much so that we went from $80 an hour to $800 an hour in three years, simply because I could not coach the number of leads that were coming in.
(03:35): And at this point, I don’t wanna raise prices anymore. I don’t want to be a high-ticket coach. It’s not on my heart. I also want to really move into a growth phase in my business, really focused on the course and program side.
And so I’ve scaled coaching back by half.
(03:52): And what, if I’ve learned anything, Lauren, it’s the critical importance of automating and making the coaching portion of my business as efficient and effective as possible because while you’re sitting there with someone.
It lights my heart up, I don’t know if I’ll ever fully quit coaching because I love it.
(04:10): I literally am lit up every time I meet with someone, have an unstuck session, have Podcast to Profit students that buy the coaching and I get to know them and we’re in the depth of their business.
I love, as you guys know, my secret skill of like being a wordsmith and creating copy with people and giving them the vision of that messaging. It just lights my soul up.
(04:31): So I love coaching, but it’s time for money. Let’s call it what it is. It’s time for great money in most cases, but it’s still time for money.
So anything that you can cut out, that’s gonna save time on the backend pieces of coaching is a no-brainer.
(04:45): So I actually wrote down six steps, Lauren, for you that I’m gonna talk you guys through today on how to completely automate the coaching process.
So let’s go ahead and go through this. You’re gonna need a notebook and pen for sure.
(04:57): Step one is you have to have a podcast. And of course, Lauren, you do, but for everyone else listening, the podcast is how you actually get clients.
So many people type in and they message me how to get clients. How do I get more clients?
(05:12): You have a podcast because your podcast is your lead gen. That’s where people hear you, trust you, like you, are interested in working with you and they hear you say, oh, hello, would you like a session with me?
I can help you do this thing. I can help you solve this problem. Let’s grab an hour together.
(05:27): And so people start to see you as this expert or this solution bringer to whatever their issue is and they wanna work with you. That’s amazing.
So the next piece of automating this process is to have a website. And I have lot of website episodes.

(05:59): You can type in a website and get a quick link to all the website episodes right there. stefgasscommunity.com. Anyway, when you have your website built, Lauren, just like you said, what they’re gonna do is come to the website.
(06:11): They’re gonna see all the amazingness about how to coach with you and how great you are. They are going to read the testimonies. They’re gonna see why they’re in it to work with you.

So once you have your website built, they’re gonna click on the coach with Lauren button.
(06:55): When they click the button, here’s where the automation absolutely takes place, Lauren. You’re gonna get set up with calendly.com. You’re gonna get the pay diversion, 10 bucks a month.
They’re gonna click the button. They’re gonna schedule a time to coach with you.
(07:14): And then Calendly is gonna actually have them pay you right there through either PayPal or Stripe on the backend, easy peasy. They’re gonna pay you.
They’re gonna check out and they’re gonna be scheduled for a coaching call with you.
(07:28): Next, Calendly and Zoom automatically integrate. It’s so easy to set this up on Calendly in the backend. Zoom is gonna create an automatic meeting for you inside of Calendly.
And it’s gonna have a link set up. The last piece is that Calendly is going to have an automated email sequence that it sends your client.
(07:52): The first one, congratulations, thanks for booking. We are super excited about your coaching call. Here’s the link to the call. It’s all automatically already in the email because Zoom talks to Calendly.
And you guys can still use the free Zoom, unless your coaching calls are over 45 minutes.
(08:08): You’re gonna have to upgrade to the paid zoom, which is only $14 a month. So to completely automate the coaching end of your business from lead gen to scheduling, you are paying $24 a month.
That’s insanity. If you spent one hour, you’ve already made up that time, that money.
(08:28): And how many hours does it take you to Facebook message and to find a time and to write it down and to get the link and to email the link and to follow up.
No more, pay the money, do the things. So let’s recap. There’s six easy steps that you’re gonna do here.
(10:03): Yes, things cost money. Programs cost money. It’s worth it, especially if they’re gonna make your life easier, better and more effective.
(10:13): The fourth thing you’re gonna do is you’re going to set up your Calendly in the backend so that it checks out. I link with PayPal and Stripe.
Those are my two preferred, use whatever you want. I’ve never had any issues with either of those payment servers, whatever they’re called.
(10:32): Number five is you’re gonna link your Calendly to Zoom. Calendly’s gonna talk you through this. Super easy. It’s simply an integration inside of Calendly.
But you do have to have a Zoom account, go to zoom.us and get signed up, pay the money. Love Zoom.
(10:50): The last but not least step is number six. You’re gonna set up the automated email inside of Calendly so that it sends your client thank you for signing up.
Other emails that you can send: reminder one week before and we send a reminder, I think 30 minutes before the session, all of this is done automatically.
(11:08): You simply show up and coach on the Zoom link that your client’s been sent. The other cool thing is you can link Zoom to your cloud and your replay can upload to the cloud. And then you just email your client the link, and you’re done.
(11:22): You have literally done nothing with a client from start to finish except coach. Glory. Hallelujah. Love this. Thanks for asking this awesome question.
